Okta Integration (Data Mapping)

With the integration between TrustWorks and Okta, the privacy team gains access to a comprehensive list of applications used within the organisation. By leveraging advanced Data Mapping capabilities, the privacy team can streamline privacy assessments and data subject requests across the organisation ensuring compliance with data protection regulations.

How does it work?

  1. Generate Okta API Key

To enable Data Mapping support, TrustWorks requires specific permissions from Okta.

👉 Permissions required by TrustWorks in order to support Data Mapping:

The API token must be generated by a user with one of the following Okta administrator roles:

  • READ_ONLY_ADMIN  (recommended — least privilege that satisfies all requirements)
  • APP_ADMIN
  • ORG_ADMIN
  • SUPER_ADMIN

The integration requires access to the following three resources:

  • Read rate limit settings (warning threshold)
  • List Applications
  • List All Application Users

⚠️ Note: Permissions configured on the service account (e.g. user or application management read/write) are not sufficient on their own. All three resources require an admin-level role in Okta. User or application management permissions alone are not sufficient — the generating user must hold one of the roles listed above.

  1. Configure Okta Integration in TrustWorks

Step 1: Go to Global Settings

Step 2: Create a New Integration and Select "Okta" with "API Key" as the Authentication Method.

By opting for API Key as the authentication method, you ensure secure and seamless access to Okta's data for TrustWorks Data Mapping capabilities.

Step 3: Add your Okta Domain (URL) and API Key previously generated.

Step 4: Test the Connection and Save.

Step 5: Verify if data repositories from Okta are visible in the Staging Area of the Data Inventory.
