Data Practices: Data Sources and Data Recipients

Introduction

In TrustWorks, setting up data sources and data recipients correctly is crucial for managing your data mapping within processing activities. This guide will help you understand and configure these settings, which can be accessed under Global Settings > Data Practices .


Configuring Data Sources

Data sources in TrustWorks refer to the origin of the data used within your organization. These can be categorized into External, Internal, Subject, and Other, but you also have the flexibility to define new data sources as per your needs.

Adding a New Data Source

To add a new data source:

  1. Navigate to Global Settings > Data Practices > Data Sources.
  2. Click + New Data Source
  3. Enter the Name and Description (optional) of the data source.

  1. Optionally, toggle on “Enable Legal Entities as Data Source Values” to use legal entities as data sources.

Default Data Source Types
  • External: Data from third-party vendors, partners, customers, or entities outside the organization.
  • Internal: Data generated within the organization, like employee records or customer databases.
  • Subject: Information directly related to individuals whose data is being processed.
  • Other: Data sources that don't fit into the above categories, like public records.

Configuring Data Recipients

Data recipients are the entities or individuals to whom data is transferred or disclosed. Like data sources, recipients can be categorized by default but also customized to fit the organization’s specific needs.

Adding a New Data Recipient

To add a new data recipient:

  1. Navigate to Global Settings > Data Practices > Data Recipients.
  2. Click + New Data Recipient
  3. Enter the Recipient name and description (optional).
  4. Optionally, toggle on “Enable Legal Entities as Data Recipient Values” to define legal entities as data recipients.
Default Data Recipient Types
  • Companies we own: Data shared within subsidiary companies.
  • Google Services: Data used by Google for traffic analysis.
  • Partners: Data shared with partners to enhance user experience.
