Introduction

Welcome to the TrustWorks Member User Manual. This guide provides an essential overview and detailed instructions on how to manage compliance tasks as a Member within the TrustWorks platform, focusing primarily on handling Data Subject Requests (DSRs) and responding to surveys.


About TrustWorks

TrustWorks is a collaborative platform designed to streamline data privacy tasks and ensure compliance within organizations. It supports efficient communication and coordination among cross-functional teams, prioritizing privacy and reducing potential risks.


Getting Started with TrustWorks

Account Creation

To access TrustWorks, you will need to create an account first.
  • When you receive an invite from your admin, click on the accept invitation button in the email.

  • Follow the link to the registration page to create your password.

  • Now to your first login.

At https://app.trustworks.io/ type the name of your organization and click on next.

  • Use your email and password or select Sign in with you SSO method.


Tasks Management

Upon logging in, the Tasks tab will display all tasks assigned to you, and you'll be able to access details on Processing Activities where you are the assigned owner.

The Tasks module helps you manage tasks related to DSRs and surveys, providing a list of tasks assigned to you with complete details for management and timely completion.


Responding to Surveys

  • When tasked with a survey, click on the details icon (eye icon) to open the survey.
  • On the right side panel you will fin the task details. In the example below it's a survey related to a processing activity but it also could be related to a data repository.

  • You’ll find various types of questions, some may include data mapping. Use the elastic search feature to find data categories and repositories quickly.

  • Duplicate any necessary information using the duplicate button next to data categories. If you encounter issues or cannot find what you need, leave a comment in the task.
  • Ensure to tag relevant team members or groups using @ for individuals and # for teams.

  • Once you have completed the survey, add any final comments, then submit it for review. Move on to other survey tasks as assigned.

Handling DSRs

  • DSRs allow individuals to exercise their data privacy rights. You’ll handle tasks related to rights such as access, erasure, or rectification. Understanding and responding to these requests are crucial for compliance.
  • Here's an example of task related to data subjects identity verification:

  • Follow the instructions to perform the task and mark the result in TW.
  • It is crucial to complete your assigned tasks within the designated timeframe to ensure the company remains privacy-focused and avoids potential fines.

Task Notifications and Team Collaboration

Collaboration on Tasks

Should you be unable to complete a task, you have the option to reassign it. Simply click on the icon next to the current assignee’s name, select a new user or team from the dropdown, and save the changes.

Task Notifications

Email notifications will alert you to new tasks. These emails provide a direct link to the task for quick access.
